Frequently asked questions

What does Orbys actually cost?

Three tiers, priced by the size of your company: $650 a month for 15–25 employees, $1,100 for 26–75, and $1,900 for 76–200, plus HST. Implementation is $3,500, $5,500 or $8,500, once. Every tier includes all 16 catalogue agents — no per-user fees and no per-agent fees — plus a number of custom agent builds each year, and your AI and voice usage within fair-use limits.

What is a custom agent, and how is it different from the 16?

The 16 catalogue agents cover processes most businesses share — quoting, collections, production tracking, follow-up. A custom agent is built from scratch for a process only you have. Your plan includes one to four custom builds a year depending on tier, and an extra one is $1,800 CAD once. We never charge you for having an agent or running one; what we charge for is building a new one. An agency in the GTA charges $25,000 to $80,000 for the same work and hands you the maintenance.

We do not know you. How do we start without betting the business?

With a 30-day paid pilot for $2,500 CAD. You pick one process; we audit it for a week, build a custom agent for it over three, and agree in writing what success means before we start. If it works, the full $2,500 comes off your implementation fee and that agent counts as your first custom build. If it does not, you keep the written diagnostic and you keep the agent. There is no version of this where you pay and walk away with nothing.

How long until it is actually working?

Two to five weeks, depending on how many systems we have to read. Week one we map how your business really works and connect your data. Week two the first agents go live in supervised mode, where they draft and you approve. A custom agent takes about three weeks on top of that. Most clients let agents act on their own within the first two months.

Do I need to replace my current software?

No. Orbys sits on top of what you already have — QuickBooks, your ERP, your CRM, Google Sheets, email. If a system has an integration we connect to it. If it does not, we capture the data another way. If you have no system at all, we build the minimum you need as part of setup.

Is this just automation with a new name?

No, and the difference matters. An automation follows rules you wrote in advance. An Orbys agent reads your real data, reasons about the specific situation, and writes something that did not exist before — this client, this amount, this problem. The scheduling around it is automated; the thinking is not.

What if the AI sends something wrong to a customer?

By default nothing leaves your business without a human approving it. You get an email with the drafted message and a button. Only when you have watched an agent work for a while and trust it do you switch that agent to full autonomy — and even then you set the limits.

Where does my data live, and is it private?

Your data is hosted in Canada and handled in line with PIPEDA. It is never used to train a public model, never sold, and never shared with another client. You can export everything at any time, and if you leave we hand it over and delete our copy.

My team is not technical. Will they be able to use it?

That is the point. Your team keeps working the way they work — a form, a QR scan, a message, a phone call. There is nothing new to learn and no dashboard anyone is required to open. The agents adapt to your process, not the other way round.

Do you only work with manufacturers?

No. Manufacturing is where the system was first proven because it is the hardest environment, but the agents are process-agnostic. We run the same platform for clinics, contractors, distributors, professional firms, retailers and property managers across the GTA.

Do you work outside the GTA?

Yes. We are based in Milton and most of our clients are within an hour of us, which is why we can do onboarding in person. Everything after setup works remotely, so we also serve businesses elsewhere in Ontario and across Canada.

What if it does not work for my business?

The monthly fee is month to month with 30 days notice — you are never locked into a year. Before you spend anything we run a free 30-minute session where we map your processes and tell you honestly whether Orbys is worth it for you. Sometimes the answer is no.
